This position handles a range of administrative tasks for the designated Directors, Team Leaders, and members of the US Tech Department. It will involve coordinating and executing the department's administrative functions in a dynamic office setting with constantly evolving circumstances
The Kind of Work You’ll be Doing:
Event Coordination: Take charge of planning and orchestrating hybrid and in-person meetings, from initial setup to final teardown, creating memorable experiences.
Meeting Documentation: Capture key insights by taking notes during critical meetings at the request of US Technology Leadership, ensuring nothing important goes unnoticed.
Expense Management: Streamline the processing of expense reports for assigned leaders and team members, keeping financial operations efficient.
Online Account Management: Oversee the management of departmental online accounts, providing essential assistance to team members as needed.
Vendor Collaboration: Forge relationships with vendors for event logistics, ensuring every detail is handled with precision.
Confidential Correspondence: Prepare, type, and organize a range of digital communications, including sensitive materials for your leader and their team, all while maintaining confidentiality.
Project Leadership: Lead and coordinate exciting projects assigned by your supervisor and US Technology Directors.
Communication Management: Handle international and domestic communications via email, phone, and in-person interactions, applying sound judgment and policy knowledge on behalf of the assigned director. Prepare various correspondence, agendas, and memos with professionalism.
Budget Oversight: Maintain budget balances and diligently monitor fund expenditures, including reimbursements, to ensure fiscal responsibility.
Integrated Filing System: Develop and maintain an organized filing system for emails, electronic documents, and physical files, ensuring easy access to important information.
Experience and Skills
Associate degree in office management or related field with 3-5 years of progressively responsible office management or administration experience, or equivalent combination of education and experience. Strong organizational skills and excellent communication abilities are required.
